Clients can visit the office or contact Heartful BD online. They must pay the service fee in advance. Then, they receive a unique ID and a tracking number. The case is then passed on to the Document Processing Team.
Document Legalization
Bangladeshis often need to legalize documents for both business and personal use. This process starts at the Ministry of Foreign Affairs. Some embassies need further legalization. In such cases, applicants must visit the High Commission of Bangladesh in Japan. They also need to book an appointment in advance. What is included in Documents Legalization
Since 2015, Heartful BD has been helping clients with the legalization of documents. This service is needed for the document's international recognition. Heartful BD handles paperwork, submission, document authentication, and legalization. The service depends on each embassy's specific requirements. This includes notarization, apostille documents from Japan, and embassy legalization.

Submit the Documents
Clients hand over their documents and passports at the Heartful BD reception. Staff checks whether any required documents are missing or not.

Schedule appointment and Process payment
After getting the documents, the appointment schedule is made. It is taken either by Heartful BD Bangladesh, or the Japan office. The office chooses a slot based on availability. Then, they take care of the legalization fee. The fee is paid with a Demand Draft or Bank Deposit before the submission.

Submit the Documents
On the appointment day, submit the documents to the Consular Office. Then, send the receipts and ICR Invoices to clients via email. Note that certain documents might need to be sent to the Japan Embassies. For attestation, these documents may also need to go to the Bangladesh High Commission in Japan.

Communication and Follow-up
The Consular office may ask the applicant for more information. Also, many reasons can delay the processing time. Heartful BD stays in touch with the visa office to ensure smooth processing.

Document Collection
After legalization, the responsible person receives confirmation. Then, the consular office tells them to pick up the documents. Finally, the Heartful BD Japan office collects the legalized, apostilled, or authenticated documents.

When Heartful BD's Dhaka office receives documents, it alerts clients. They can then pick up the documents from the office directly. Or, they can request a courier delivery.
